At Mountain Maternity & Family Medicine, we know that trust is the foundation of good care. That trust extends to how we handle your personal information. This policy explains, in plain language, what we collect through our website, why we collect it, where it goes, and the choices you have. If anything here is unclear, we're always happy to talk it through.

Who We Are

This website is operated by Mountain Maternity & Family Medicine Inc., which serves patients through two Canmore locations: our main clinic at 201A–1205 Bow Valley Trail, Canmore, AB T1W 1P5, and Canmore Community Health at Unit 209 – 710 10th Street, Canmore, AB T1W 0G7.

Our Privacy Officer is Dr. Brendan Flowers, MD. You can reach him at manager@mountainmaternity.ca with any question about your privacy or this policy.

This policy covers information collected through mountainmaternity.ca only. It does not cover your clinical or medical records. Those records are health information governed separately under Alberta's Health Information Act (HIA) and are protected by their own strict rules. When we talk about "your information" on this page, we mean the information you share with us through the website — not your medical chart.

What We Collect

When you fill out a contact or inquiry form on our website, we may collect your name, email address, date of birth, home address, phone number, and the reason you're getting in touch. We ask for the reason for your inquiry so we can route your message to the right person and respond helpfully.

Our website forms do not collect clinical or medical health information. Please don't share detailed medical history, symptoms, or health concerns through a website form. Those conversations belong in a secure setting with your care team.

Like most websites, ours also collects some information automatically to help us understand how the site is being used. We use Google Analytics 4 (GA4), which may collect your IP address, the type of browser and device you're using, the pages you visit, and how long you spend on the site. This is done through cookies — small files stored by your browser.

Our website footer includes social sharing buttons for Facebook, Twitter (X), and Pinterest. These buttons don't collect information about you unless you click one. If you do, the platform you're sharing to may collect data under its own privacy policy.

How We Use Your Data

We use the information you give us for a small number of clear purposes: to respond to your questions and inquiries, to process appointment booking requests through our booking platform, and to understand and improve how our website works using Google Analytics.

We never sell your personal information to third parties. We do not trade or rent patient data. Full stop.

Where Your Data Is Stored

Booking and appointment information submitted through our system is handled by Pomelo, a patient engagement and booking platform provided by TELUS Health, at portal.healthmyself.net/mountain. Pomelo maintains its own privacy and data-retention policies. You can contact Pomelo/TELUS Health directly with questions about how your booking data is stored and retained, and you can review their privacy policy at telushealth.com.

Two of the services that help run our website store information outside of Canada, and we want to be upfront about that. Google Analytics transfers the data it collects to Google's servers in the United States. Our website is hosted on Squarespace, whose servers are also located in the United States, which means the general content and technical data associated with the site are stored there. Information stored in the United States may be subject to U.S. laws.

Third-Party Services

A few trusted third-party services help us run our website and booking. Each has its own privacy policy that governs how they handle your information:

Pomelo / TELUS Health powers our appointment booking. You can review their privacy practices at telushealth.com.

Google Analytics helps us understand website usage. Google's privacy policy is available at policies.google.com/privacy.

Squarespace hosts our website. Their privacy policy is available at squarespace.com/privacy.

The Facebook, Twitter (X), and Pinterest sharing buttons in our footer are governed by each platform's own privacy policy, and only come into play if you choose to click one.

Your Rights Under PIPEDA

Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) gives you real, practical rights over your personal information, and we respect all of them.

You have the right to access the personal information we hold about you. Just ask us in writing and we'll walk you through it. You have the right to ask us to correct any information that's inaccurate or incomplete. You also have the right to withdraw your consent to our use of your information at any time. One honest heads-up: if you withdraw consent for us to use your contact details, we won't be able to process your appointment requests or follow up with you, since we rely on that information to do so.

Finally, if you ever feel we haven't handled your information properly, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada. You can reach them at www.priv.gc.ca. We'd always appreciate the chance to make things right first, so please feel free to come to us directly as well.
